Operator licence compliance

Operator licencing is complex, there are many aspects and pitfalls involving staff from all areas of your business, from the company director, the transport manager, planning team, admin staff to the driver and warehouse staff, you are also heavily dependent and at risk from the 3rd parties you contract your maintenance and tachograph analysis to, all of these staff and contractors have a duty to you in meeting and upholding the standards the Traffic Commissioner requires to allow you to keep your operator licence.
An independent audit will examine all aspects or your maintenance and compliance systems.
Our compliance audits meet the latest Traffic Commissioner standards, are fully independent, confidential and provide full visibility of your level of compliance with operator licensing, any shortcoming identified will be fully explained and advice given on how to remedy any issue identified.
Our audit report, helps you spot any areas that need to be improved, and every audit report is accompanied by a full list of recommendations on how to rectify any shortcomings that are found.
All audits are carried out by competent auditors, who have been in the transport sector for many years, have been involved in Public inquiry defence cases, and criminal courts. Each one understands the importance of ensuring an operator is fully aware of compliance, and how to measure shortcomings, we understand the importance of helping you correct any areas of weakness or non compliance that are identified.
Why are audits crucial to your business
  • You are a new operator and require assistance ensuring you have all processes in place.
  • You have been called to Public Inquiry and want to get your compliance satisfactory before the Traffic Commissioner takes action against you.
  • You have reason to suspect your compliance is not up to standard.
  • You wish to ensure you are running a fully compliant operator licence and all undertakings are being fully met.
  • To ensure all parts of compliance for vehicles within your business are doing their jobs effectively.
  • You may have been instructed by a Traffic Commissioner to have an independent compliance audit carried out and the findings / report sent to them.
  • Your customers request you provide evidence of your compliance annually.
Our audits cover all aspects of operator licensing. They are carried out to the latest standards demanded by the Senior Traffic Commissioner, as set out in “The Statutory Guidance for Traffic Commissioners” and can be used to demonstrate your level of compliance to them. Our auditors have been providing audits to the Office of the Traffic Commissioners in excess of 13 years.
Your auditors:-
We cover all aspects of operator licensing, as with DVSA we have 2 auditors carry out your audit, one is a time served motor mechanic who spent over 16 years working on all types of heavy goods vehicles before joining the Vehicle Inspectorate and then VOSA as a vehicle examiner and an investigator, he will concentrate on your maintenance systems and processes. The other auditor has a vast knowledge of the logistics and bus/coach industries and has a Diploma in civil litigation, he concentrates on all compliance and driver management systems. We have found that this approach works best as we mirror how DVSA carries out audits, they use traffic examiners and Vehicle examiners and we recognise this approach ensure we don’t miss anything.

Compliance vs Cost

Compliance does not have to come at a cost.
Most common quotes we usually hear are:-

"but we have always done it like that"
" We get them from Jim's pal"
       " Its easier this way"
" it will be alright, never had a problem before"
" we have used them for years"
" I'm too busy to deal with that"

Reviewing who you use, why you use them, what you get from them and what others charge, is often the best way of cutting costs and sometimes improving compliance. We find regularly that others can offer a better service at a more competitive price, or indeed agree a committed reduced price and improved quality from your current service providers/suppliers.
Too many people get stuck in a rut and just keep using the same people without having annual account review meetings and contract negotiations.

We are finding far too many operators falling foul of regulatory action because they have not ensured they are keeping up to date with their obligations per their statement of intent on the licence application and are not fulfilling the licence undertakings.

We offer help and advice with the above issues along with our compliance audits, we also have contacts and pricing structures in place with some of the country's leading providers of Tyre supply, service provision, legal services, HR advice, Telematics and many more.

Here to Help, let us start you on that journey to improve your compliance and streamline what you do.
